Privacy Policy

The SmartHealth4All Consortium informs all users of its website and participants of its events of its personal data privacy policy so they can voluntarily decide whether to provide personal information to request information and/or register for registration at its events. The personal data collected will be used appropriately, in accordance with the purpose for which they were collected and in compliance with the provisions of the General Data Protection Regulation - Regulation (EU) 2016/679.

Data Controllers

The personal data controllers are Health Cluster Portugal ("HCP"), collective entity no. 508 527 864, with headquarters at Rua Eng. Frederico Ulrich no. 2650, 4470-605 Maia, telephone number +(351) 220 968 183, and Siemens Healthcare, Unipessoal, Lda. ("Siemens Healthineers"), collective entity no. 507 925 173, with headquarters at Rua Irmãos Siemens nº1, 2720-093, Amadora. The HCP and Siemens Healthineers are committed to treating the data of participants and authors in a clear and responsible manner.

Purposes for which the data is collected

This Privacy Policy applies only to the collection, use and protection of personal data for the SmartHealth4All Mobilizer Project activities and service of third parties essential for the proper execution of the same. It does not apply to websites, mobile/tablet apps or third party services unrelated to the said Project. We recommend careful reading of the terms and conditions of this Privacy Policy.

Gathered information

Fundamental for registration: the information collected and filed consists of personal and professional data entered by the participants through forms established for this purpose, via online, email or paper, which are used for the organisation and management of the processes of requesting information and accessing process documents and of event registration. These data are essential for the correct completion of the processes.
Correspondence information: the most effective means of correspondence to and from the SmartHealth4All Mobilizer Project is the email address info.sh4all@healthportugal.com. By interacting with the Project in its different forms, you will join the Project's email list, from which we share notifications or other correspondence during the pre- and post-period to notify you of news, information and events. If you wish to unsubscribe from the disclosures you simply need to remove your email address from the list, where indicated on the disclosure page. If you do not wish to receive future communications, please contact us by e-mail: info.sh4all@healthportugal.com, giving notice of your wish. Please note that requests for removal of your information from the archive lists, although swift, may take some time for the respective removal.
Attendance information: we do not make public the individualised attendance information of participants on any public disclosure platform or location (e.g. social media or website) without their prior permission.
Information in internal communication publication: Having the responsibility for the communication of the Mobilising Project, HCP and Siemens Healthineers will publish in their internal means of communication (website of the HCP and affiliates, social networks and other internal means, such as newsletters) and others available to the Mobilisers (website, newsletter, ... ) various news of the events using audio-visual media captured by image, video or audio or video recording within the scope of the initiatives, and may also concede them to any partner of the SmartHealth4All Mobilizer Project, under the same assumptions to which the HCP and Siemens Healthineers are subject. If you do not authorize the publication of photographs, videos and summaries, please contact the HCP or Siemens Healthineers during the event or as soon as possible, through the email info.sh4all@healtportugal.com. We further inform that all participants of events are subject to image and audio capturing during SmartHealth4All Mobilizer Project’s events, both by the HCP and by partners and media present at the event. Therefore, if you view any material with your image/audio and do not authorise its use, please inform us (via email: info.sh4all@healthportugal.com) of the request to delete it. If the image is shared in communication channels of partners and the media, we request that you contact them, as the HCP and Siemens Healthineers are not responsible for their content.

Information shared with:

Handlers: the HCP and Siemens Healthineers have access to the information provided in accordance with the due course of the registration processes.

Promoters of the SmartHealth4All Mobiliser Project: in addition to the HCP and Siemens Healthineers, the other promoters of the Mobiliser Project will also have access to the information provided according to the due course of the registration processes.

Partners: to carry out all the events associated with the SmartHealth4All Mobilizer Project, the HCP and Siemens Healthineers may need to establish partnerships with other entities, sharing with them only the information strictly essential for the continuation of the partnership of the Project activity in question.

Service Providers: the HCP and Siemens Healthineers may collaborate with service providers such as the event management company and companies that may provide support to the organisation of the various Project events. HCP and Siemens Healthineers take steps to ensure that our service providers protect your information. If HCP or Siemens Healthineers becomes aware that a service provider is improperly using and disclosing information, commercially plausible steps will be taken to terminate or correct the improper use of the information.

Rights

Participants can exercise their rights of access, information, cancellation, rectification, rebuttal, handling, data portability, opposition and automated decisions. They should claim their rights to the following e-mail address: info.sh4all@healthportugal.com.
Participants also have the right to present a complaint with the National Commission for Data Protection.
Please note that if you choose to delete your information or refuse the collection and use of your information it may lead to an invalid registration process.

Information retention períod

HCP and Siemens Healthineers will preserve your data for as long as necessary to fulfil the purpose of its collection as well as within the scope of applicable legal requirements.

Security of information

HCP and Siemens Healthineers make every possible effort to protect your information from loss, misuse, unauthorised access, alteration and destruction. Accordingly, we have adopted the levels of security and data protection required by law to avoid the aforementioned issues. However, the participant and author should be aware that no data security protocol is inaccessible and as such, HCP and Siemens Healthineers do not guarantee that information cannot be accessed, collected, disclosed, breached and destroyed by unauthorised third parties acting illegitimately.
In such circumstances, HCP and Siemens Healthineers shall not be liable for any damages caused. 

Changes of the Privacy Policy

HCP and Siemens Healthineers may at any time update this Privacy Policy, so we ask that you periodically review this document to keep up to date. Remaining a participant and exhibitor means your acceptance of the amended terms.

Clarifications

If you have any questions about this Privacy Policy, you should contact HCP and/or Siemens Healthineers, through the aforementioned means. Our entities will resolve the matter in the shortest possible time.
